We process personal data to the extent necessary for operating the website, contact requests, onboarding, the customer account, widget operation, spoken availability via an AI voice (by phone and – where offered – in-browser calls in the widget), front-office cases, security, support, billing or legal obligations.
This may include contact details, company data, website domain, chat and case content, appointment and booking data, handover context, technical log data, device and browser information as well as support and billing data.
When visitors use an embedded Synadesk widget, the content they enter is processed to classify requests, ask follow-up questions, carry out approved actions such as booking, rescheduling or cancelling appointments, or hand over to humans. The AI agent is labelled as an AI agent and does not make legally binding automated decisions. For text input, the widget additionally offers a dictation feature – where the browser supports it: it only starts after a click on the microphone icon and your approval in the browser. Speech recognition is performed by your browser's dictation feature; the audio is processed by the browser vendor's speech recognition service and is not transmitted to our servers – only the recognised text reaches Synadesk, and you can review and edit it before sending.
Callers who dial the phone number stated on the contact page and in the footer reach an AI voice – not a human counterpart. An in-browser call only starts after a click and only accesses the microphone for the duration of the call after approval in the browser; the AI nature is disclosed at the start. The purpose is to record and classify requests, to carry out approved front-office actions and to hand over to humans. To conduct the conversation, audio data is transmitted via telephony and voice-channel service providers and processed only transiently; no permanent audio recording takes place. For speech recognition, response generation and speech synthesis, conversation content is transmitted to processors with possible processing in the USA; the safeguards named in section 7 apply. A text transcript is created at the voice-channel service provider and retained there for no more than around seven days; Synadesk stores the summary and the related case data in accordance with section 9. The legal basis is pre-contractual and contractual measures as well as our legitimate interest in reachable front-office handling.
Synadesk customers remain responsible for their website, their visitor communication, their legal notices, their business systems and the accesses they connect in the customer account. NeuraTech AG processes product-related data either as a controller or as a processor, depending on its role.
Where necessary for the respective purpose, we disclose personal data to processors in the following categories: hosting and delivery, database and storage, AI model and speech processing, email communication, payment processing as well as telephony. Processing takes place in Switzerland, Germany, France, Ireland and the USA. For certified recipients, we base the transfer on the applicable adequacy decision under the Swiss-U.S. Data Privacy Framework or the EU-U.S. Data Privacy Framework. Otherwise, we use the EU standard contractual clauses recognised by the FDPIC, with the adaptations required for Switzerland; data subjects can obtain a copy of the clauses used via the contact address in section 13. Synadesk customers receive the current list of subprocessors as part of the data processing agreement or on request. Systems connected by the customer themselves are the customer's own provider relationships.
A cookieless web analytics solution is enabled on the public website. We measure page views and defined funnel events, such as clicks on contact, demo, pricing-plan and onboarding links. No conversation content is transmitted to analytics. Technically necessary cookies or local storage may be used for login, security, widget functionality and user preferences. Additional tracking or marketing tools are only activated with an appropriate legal basis and labelling.
Data is stored only for as long as necessary for the respective purpose, the contract, support, security, record-keeping or statutory retention obligations.
We use technical and organisational measures, in particular encrypted transmission, access restrictions, tenant isolation, domain protection, logging and approval rules for sensitive actions.
Data subjects may request access, rectification, erasure, restriction, release of their data or object to processing, provided the legal requirements are met. There is also a right to lodge a complaint with the competent supervisory authority.
Partners can recommend Synadesk from the partner area by email to an address they provide. We then send a one-time referral email via our email service provider; no automatic follow-up takes place. We store the invited email address exclusively as a cryptographic hash – not in plain text – in order to attribute a later registration to the referring partner and to avoid duplicate invitations. If the partner additionally provides a recipient name, we store that name in plain text until the invitation is converted into a registration or deleted. Invitations that are not converted into a registration – including any stored name – are deleted no later than 90 days after creation; upon registration, the name is removed as soon as the account is created. Recipients can object to the processing at any time (support@synadesk.ai).
